Refunds and Cancellation
The purpose of the Refund and Cancellation Policy for the Qualified Applied Behavior Analysis (QABA) Credentialing Board is to establish a clear, fair, and equitable framework for managing refund and cancellation requests by organizations and individuals related to credentialing fees and services.
Individual/Organization Responsibilities:
- Refund Request as Primary Option:
– Individuals and organizations are required to first request a refund through the official channels of the QABA Credentialing Board if they believe they are entitled to a refund due to cancellation or any other valid reason as per our policy.
- Fees Incurred in Chargeback and Dispute Situations:
– If an individual or organization initiates a chargeback or dispute without first seeking a refund from the QABA Credentialing Board, they will be held responsible for any fees or costs incurred by QABA as a result of the chargeback or dispute process. This includes, but is not limited to, administrative fees, legal costs, and any penalties imposed by financial institutions.
– These fees are necessary to cover the costs associated with the chargeback or dispute process, which involves significant administrative effort and potential legal consultation.
- Communication and Documentation:
– Individuals and organizations are encouraged to maintain open communication with the QABA Credentialing Board throughout the refund, chargeback, or dispute process. Proper documentation of all communications and attempts to resolve the issue should be kept as it may be required during the dispute resolution process.
- Consequences of Non-Compliance:
– Non-compliance with this policy, including initiating chargebacks or disputes without first requesting a refund, may result in additional financial liabilities for the individual or organization and could potentially affect their standing with the QABA Credentialing Board.
Basis upon which refunds are considered:
Refund Period:
– If an individual has enrolled in a course but not started their enrollment application to sit for the exam (e.g., has not uploaded documents, submitted recommendations, or supervision verification), and the period between enrollment and notification of withdrawal does not exceed 30 days from the enrollment date, a refund will be issued to the individual or organization for the full amount of the course fee, less the 10% Admin Fee.
– If an individual has started their enrollment application and QABA has reviewed documents, whether they were approved or rejected, and the period between enrollment and notification of withdrawal does not exceed 30 days from the enrollment date, a fifty percent (50%) refund due will be given to the individual or organization.
– If an individual has started their enrollment application and QABA has reviewed documents, and the period between enrollment and notification of withdrawal exceeds 30 days from the enrollment date, QABA’s obligation is considered complete, and it may retain the full payment.
After the 30-Day Refund Period:
– If the period between enrollment and notification of withdrawal exceeds 30 days from the enrollment date, whether the enrollment application has been started or not, an application for refund may still be submitted up until 90 days from the enrollment date. However, QABA is under NO obligation to refund the payment. Consideration will be given to the refund request, and the individual will be notified within 30 days from the request for refund submission date as to the success of the application. Once a decision has been made and the individual or organization notified, all decisions are final, and QABA will not enter further discussion.
Final Date for Refund:
– There will be no refunds granted on any enrollment applications at any time following 90 days from the enrollment date.
Refund Time Frames:
– Once a request is submitted, QABA has up to 30 days from the date the request is received to determine if a refund will be issued and the amount that will be refunded.
– The Date of Determination is the date upon which the individual receives notice of the outcome of the refund request.
– Refunds will typically be paid within forty-five (45) calendar days of the Date of Determination.
Who Will Receive the Refund:
– Any refund paid by QABA will only be issued to the party who made payment to QABA, even if payment was made on behalf of the individual.
Circumstances Where Refund Will NOT Be Issued:
– TECHNICAL ISSUES: Refunds are not available for individuals who have experienced technical issues. Although we work hard to do everything possible to avoid issues, many aspects of the technology fall outside of our control, such as hosting and server functionality.
– FAILURE TO USE COUPON CODES: Refunds will not be available for the failure by users to use coupon codes. Individuals that either forget to enter a coupon code or receive said coupon code after the course has been paid for are no longer eligible for the discount related to that code.
– UNAUTHORIZED CODE USE: Refunds will not be given to anyone who utilizes a coupon code not belonging to them, their employer, or without exclusive permission from QABA.
– DUPLICATE PAYMENTS: If an employer pays for a course for an individual in the provider portal, a coupon code will allow the individual entry into the course at no cost. If the individual enters the course, neglects to enter the coupon code, and pays full price for the course, there is no refund available to either party. The issue of duplicate payment is then between the individual and their employer, and QABA will not be involved.
The QABA Credentialing Board reserves the right to amend the refund and cancellation policy at any time deemed necessary.
